Hotel

Seminole Hard Rock Hotel

  • We're excited to welcome you to Kickoff! Hotel accommodations will be provided for eligible attendees traveling to the event. Employees located in the Coral Gables, Doral, Fort Lauderdale Downtown, Plantation, Boca Raton, and Delray Beach offices are not eligible for hotel accommodations. Business Owners are eligible for hotel accommodations on Thursday evening regardless of office location.
    • If a hotel room has been arranged for you, keep an eye on your inbox for a confirmation email from info@cvent.com in December. In the meantime, sit back and relax. There's no need to book a room on your own. We’ve got it covered!
  • Check-In: Begins at 4:00 PM on Thursday, January 7. Please plan to arrive at or after this time.
  • Check-Out: Please check out of your room prior to Kickoff. Luggage storage will not be available during the event, so all luggage and personal belongings must be placed in your vehicle before proceeding to the Seminole Ballroom.
  • Parking: Complimentary self-parking is available at all the on-site parking garages. For the most convenient access to the event, attendees are encouraged to park in the Seminole Way Garage, which is the closest garage to the Seminole Ballroom. Please keep in mind that valet parking is not reimbursable.
  • Billing: Your hotel room charge for Thursday night will be covered through our master account. To ensure proper billing, please do not make a reservation directly with the hotel.
  • Incidentals: Upon check-in, the hotel will request a credit card for incidentals. Please provide your personal credit card, as this would cover non-business-related expenses for your room.
  • Business Expenses: Any other business-related expenses should be paid separately using your corporate Navan VISA and expensed in accordance with Kimley-Horn policies.
  • Alcohol: Alcohol should not be charged to your room or placed on a corporate Navan VISA. Alcohol is not a reimbursable expense.
  • Accessibility: For questions regarding accessible rooms, common areas, or special services, please contact Bev Smith.
  • Extending Your Stay? We’re happy you're making the most of your visit! If you choose to extend your stay beyond Friday morning, any additional room nights and related charges will be your responsibility and billed directly to your personal credit card.

Please contact Tammy Scarlott with any questions regarding hotels.

Travel Arrangements

To help us use our shared resources wisely, we ask that you carpool whenever possible. Please be efficient in your travel choices and coordinate with your colleagues.

For both personal vehicles and rental cars, three or more people will be required for reimbursement.

Rental Cars

Please book the rental car through Navan. Your reservation will be held using the KH Virtual Travel Card in Navan, making the process easy. When you arrive to pick up your vehicle, just present your physical Navan card for payment.

Brightline

Please book your travel directly through Brightline using your Navan Corporate VISA. When submitting your expense report in Navan, code the expense to Meeting – Internal Regional Kickoff and upload your receipt for reimbursement.

*To manage travel expenses, only "SMART" fares are eligible for reimbursement. Premium options will not be reimbursed.

Flights

Please book directly through Navan.

No action is needed for airfare expenses. Flights are charged directly to the KH Virtual Travel Card and will automatically flow through the expense system, so no additional coding or expense entry is required.

Parking

Seminole Way Garage

Complimentary self-parking is available in the Seminole Way Garage, the closest parking option to the Seminole Ballroom, where Kickoff registration and events will be held. After parking, follow the resort signage to the ballroom and refer to the parking map below for the most direct walking route.

Expenses

To view your expenses, select Expense from the dropdown menu on the left side of the Navan homepage. If any transactions require additional action, you'll find them under Tasks.

Please verify and code any Kickoff-related expenses to Meeting – Internal Regional Kickoff. For all other coding fields, simply select N/A or No.

Please contact Giulya Monte with any questions regarding expenses.
